What is the Translation Workflow Process?

Thank you for considering Communicaid for your translation needs! Headquartered in Silicon Valley, we are a leading provider of comprehensive language services for the business community in the Bay Area and around the world.

Client Inquiry
In order to provide you with an accurate quote for your translation project, please submit the following information via telephone or our electronic Quick Quote system:
  • Your name and title
  • Your contact information and the best times to reach you
  • Company name
  • Subject matter of the documents
    • Legal, medical, business etc.
  • Target and source languages
    • Required dialects, if applicable
  • Number of words
  • Any DTP or graphical requirements
  • Desired project deadline
  • Any specific requests or instructions
  • Billing information
In order for us to give you a binding quote we will need to have access to your source files. This is necessary because we discount repetitions within a document.

Project analysis
After we review the information submitted, we will assess the complexity of your project, including the types of industry experts required, the target language and dialects and the scope of your project.

After we’ve assessed the details of your project, we will provide you with a detailed written quote, which includes the cost and projected turnaround time. Generally, we are able to provide a quote within 1business day.

PPM/Team Selection
Once we receive your written approval to proceed, we will assign a Personal Project Manager (PPM) to oversee your translation project. Your PPM is responsible for selecting the appropriate team of linguists, proofreaders and industry specialists for your project. Your PPM will work with you from start to finish, ensuring your project is completed exactly according to your specifications.

Translation, editing, proofing and numeric review (TEP+N)
Communicaid goes a step beyond the industry-standard translation-editing-proofing (TEP) protocol, adding an additional numeric review (+N) step, which utilizes our proprietary SafetyNet™ software to confirm the numeric integrity of your project.

Your project documents are translated from the source language to the target language by our highly-qualified, native-speaking linguists.

After the translation is completed, independent teams of equally-qualified linguists and industry experts edit the translated product for contextual accuracy.

Once the content has been approved, your documents are passed on to another set of linguists to assure all spelling, grammar and cultural perspective are correct and that the translations read fluently.

Numeric review
Utilizing our proprietary SafetyNet™ software, your documents are scanned for numeric inconsistencies in the final product, which if undetected, could pose significant problems.

Client Review/Signoff
After all our proofing steps are complete, you will have the opportunity to review all documents before signing off on the project. We encourage your feedback and will adapt the translations to include any stylistic preferences at no extra charge.

Files uploaded to ShareFile™
Translation review and final delivery is made simple with our ShareFile™ portal. Once we upload your documents to our ShareFile™ portal we send you an HTML link and password so you can retrieve the files at your convenience. You may also choose to distribute the files to your team using the portal. Your ShareFile™ account allows you to create subdirectories and assign rights and permissions to the folders so sharing your translated documents across multiple departments or your entire company is easy.
